Refund, Cancellation, Discounts & Program Policies

We want every family to clearly understand our policies before registering. Our goal is to keep our programs affordable while providing a fun, safe, and reliable soccer experience for all players.

Refund Policy

Before the Program Starts

• 14 or more days before the program starts
  • 100% refund of program fees less a $50 administration fee.
  • If uniforms have already been ordered, the cost of the uniform will also be deducted from the refund.
• Less than 14 days before the program starts
  • No refunds will be issued.

After the Program Starts

• Once the program has started, no refunds or credits will be issued for missed sessions, vacations, scheduling conflicts, or withdrawals.

Medical Reasons

If a player is unable to participate due to a medical reason:

• A doctor’s note is required.
• A transfer or program credit may be approved at no additional charge.
• Requests are reviewed on a case-by-case basis.

Program Cancellation

If Panorama Hills Soccer must cancel a program due to insufficient registrations:

• Families will receive a full program credit, or
• A full refund upon request, or
• The option to transfer into another available program.

Families will normally be notified approximately 7 days before the scheduled start date.

Extraordinary Circumstances

If a program cannot operate because of:

• Government restrictions
• Public health orders
• Facility closures
• Other circumstances beyond our control

Refunds will not be issued.

Instead, families will receive a full program credit, valid for up to one year, toward any future Panorama Hills Soccer program.

Discounts

To keep soccer affordable, we offer the following discounts.

Sibling Discount

✔ 5% off

Applies when:

• Two or more children from the same household register for the same seasonal program.

Does not apply to:

• Multi-session programs (already discounted)

Returning Player Uniform Discount

✔ $25 30 Uniform Discount

Available when:

• Your child already has a Panorama Hills Soccer uniform from the current calendar year.
• During registration you selected “No Uniform Required.”

The discount is applied after registration has been reviewed.

Maximum Discounts

The maximum combined discounts per child are:

$40 per registration

(excluding multi-session programs)

Uniform Policy

Unless otherwise stated:

Each registered player receives:

• Soccer Jersey
• Shorts
• Socks
• Soccer Ball

Uniform Exchanges

Uniforms may be exchanged only when they are first distributed, and only if another size is available.

Once a uniform has been worn, no exchanges or returns can be accepted.

Drop-In Sessions

Our drop-in option was created for:

• Families visiting Calgary
• Families with vacation schedules
• Players unable to attend the full program

Drop-In Information

• $25 per player, per session
• Payment is required before each practice
• Players may attend as many sessions as they wish (subject to availability)
• Uniforms are not included
• After completing 10 drop-in sessions, players will receive a complimentary Panorama Hills Soccer uniform.

Sibling discounts apply to eligible drop-in registrations.

Soccer Balls

Soccer balls are included with every uniform package.

Although every ball is inspected before distribution, manufacturing defects occasionally occur.

Because soccer balls are supplied by the manufacturer, Panorama Hills Soccer cannot provide warranties or replacements for defective balls.

Purchasing Uniforms or Soccer Balls

Additional items may be purchased (subject to availability).

• Uniform Kit — $30
• Soccer Ball — $10

Approval is required.

Field & Facility Policy

Our programs operate at City of Calgary and other community facilities.

If a field becomes unavailable because of:

• Facility closure
• Double booking
• Maintenance
• Other circumstances beyond our control

We will make every reasonable effort to:

• Schedule a make-up session, or
• Extend the program.

If neither option is possible, a program credit equal to the missed session will be applied toward a future program.

Outdoor Weather Policy

Player safety always comes first.

Practices may be cancelled due to:

• Lightning
• Thunderstorms
• Heavy rain
• High winds
• Cold temperatures (approximately below 12°C)
• Unsafe field conditions

Whenever possible, cancellation decisions are made around 5:30 PM.

Please check:

• Your email (including Spam/Junk folders)
• Our website

by approximately 5:30 PM.

If you have not received a cancellation notice by 5:30-5:45 PM, the practice will proceed as scheduled.

Make-Up Sessions

Since 2013, Panorama Hills Soccer has made every effort to deliver every scheduled session (excluding the COVID years).

When weather or other circumstances require a cancellation, we will schedule up to two make-up sessions, if necessary.

Privacy Policy

We respect your privacy.

Your personal information is never sold or shared with outside organizations except when required to:

• Operate our programs
• Process registrations
• Comply with legal requirements

Any trusted service providers are required to keep your information confidential.

Policy Updates

Our policies may be updated from time to time to reflect operational improvements or legal requirements.
